Support Officer - Commercial Negotiation & Execution (Analyst)

The Commercial Negotiation & Execution (CNX) function forms an integral part of the delivery of our commercial strategy and management of our customers’ needs.
Delivering for our customers is at the heart of our business and our CNX function has a broad remit from leading the negotiation, project management and execution of the various contracts for all transactions undertaken by SMBC AC including leasing, trading, restructuring, OEM procurement and capital markets, managing post-delivery activity and customer relationships through to managing closings and document management.

This role, reporting to an EVP/SVP in the CNX function and located in Dublin, requires the provision of general administrative assistance to the busy, client facing, professionally qualified CNX function, ensuring that (i) support is provided so that necessary approvals are efficiently obtained (ii) there is timely and orderly co-ordination, liaison and support with regard to the payment of invoices (iii) your colleagues can get the right information at the right time as well as (iv) supporting projects and initiatives designed to improve the efficiency of our operations and the level of service we can deliver to our customers and Deal Teams.

The CNX function reports to the Chief Commercial Officer and together with Airline Marketing, Aircraft Trading, Procurement, Technical, and Portfolio Risk Management, forms Team CCO.

Core Responsibilities

  • CNX works extensively with partner law firms in multiple jurisdictions. Ownership and oversight of the processing of all legal invoices relating to both owned and managed aircraft and fostering a close relationship with the finance department to streamline invoices processing is core to this role.
  • Legal invoice cost reporting and analysis using a range of metrics including preparation of actual versus budget reports and analysis of legal costs incurred across different categories on a regular basis.
  • Acting as point person for relationship law firms to report on outstanding invoices.
  • Coordination, planning and management of internal and external meetings, both recurring and ad hoc including, inter alia, law firm visits.
  • Coordination and update of training materials for CNX and ensure the CNX Induction modules remain live and current. Coordination of new joiner’s induction programme.
  • Support periodic reporting obligations, as required e.g. covenant compliance and internal audits.
  • Keep (i) Approved Counsel List (Lead and Local), (ii) approval records & (ii) Engagement Letters up to date. Ensure documents are correctly uploaded and provide periodic reporting to EVPs, Head of CNX and CLO.
  • Coordination and live maintenance of a Jurisdictional Information database including uploading and maintenance of associated documentation and annual update of panel firm reporting on jurisdictional matters.
  • Provide support to CNX colleagues based in overseas location with tasks that have to be done in Dublin
  • Oversee and coordinate the efficient completion of document execution and corporate approvals.
  • Provide VISA application and other bespoke travel support to CNX colleagues.
  • Assist in presentation preparation such as Excel, Word, PowerPoint, etc
  • Ad hoc duties as required.

Qualifications & Experience

  • Strong administrative skills.
  • Comfortable working with numbers and in particular excellent financial reporting and analysis skills.
  • Ability and flexibility to work in a fast paced, dynamic team environment.
  • Strong, proven MS skills essential (particularly, PowerPoint and Excel),
  • Excellent time management, organisational and problem-solving skills.
  • A high level of interpersonal and communication skills, a fluent English speaker with excellent oral and written skills.
  • Ability to multi-task, prioritise & manage deadlines and targets.
  • Excellent attention to detail and accuracy.
  • Work well as a team player.
  • Prior experience of corporate environment and/or office administration and procedures is an advantage but not essential.
